PROCEDURE FOR USING MEDICSCAN
To import Insurance Cards by Image into Patient
Records
- Click on icon for Medicscan located on Front 2 computer
in Front Office (this is the PC that is connected to the Medicscan scanner).
- After the program opens, place insurance card face down
into scanner and click on icon “Scan Image.” The first side of the card is
scanned as side “A”.
- Select “B” at lower right of image screen. Put back of
insurance card face down into scanner and click “scan image.” The back side
will be saved as “B”.
- Click on icon “Save to File.” The two images will
automatically be saved in a directory (on the C: drive), named “Insurance
Cards.”
- Close the scanner and go to the desktop. Click on the
shortcut for “Insurance Cards.”
- After this directory opens, right click on the image
file, and rename the image file with the name of the patient and the date you
scanned card.
- Enter information from the card image into Billing.
- Go to Practice Partner Patient Records. Open chart for
this patient. Go to the section labeled “Requisition for Services”. This
lower left hand section of the chart has other sections below (Under the
“Requisition…” tab – See first image below). Click on “Requisition for
Services” and open the list. The third item in that section is “Insurance
Cards”. Select that item.
- A new screen will open. At the top of screen, there is
a code .D with the current date. Below that is a code .T with a blue mark
after it. At the end of the mark, type “Insurance Card”. Enter. See the
second image below.
- On the keyboard, hit ALT, I, E. “I” will open the
Insert menu and “E” will open a screen “Insert Linked File.” In first box on
this screen, type C:\Insurance Cards, and click on the browse button. Select
the image file for the patient and hit Enter. A link will appear in blue
letters. (see second image below) Hit OK and close patient’s chart.
- Go to file “Insurance Cards” on Front 2 desktop. Open
the file, and open the card image for the patient. Enter information from the
card image into the patient’s account in Medical Billing.
- When all the steps are completed, the image file may be
deleted.
NOTE: We will NO LONGER keep paper copies of insurance
cards in the paper chart. If you need a “demand” copy of the insurance card, go
to INSURANCE CARDS and click on image of most recent card and print.
